SCMF-SWF Ohio Writers Scholarship Terms and Conditions

This document outlines the Terms and Conditions for scholarships awarded by the Sandra Carpenter Memorial Fund (the Fund) to participate in the Stockholm Writers Festival in Stockholm, Sweden (SWF).  You must read these Terms and Conditions in full. In accepting the scholarship, it is understood that you have read and agree to comply with these Terms and Conditions.

Eligibility Requirements

The recipient of the 2024 SCMF-SWF Ohio Writers Scholarship to attend the Stockholm Writers Festival will meet the following criteria. Applicant:

  • Is at least 18 years of age

  • Identifies as a woman and writes in any genre

  • Is an “emergent” writer; she is not currently represented by a literary agent and has not sold a manuscript to a traditional publisher (self-publishing would still be considered emergent). Like Sandy, she has a manuscript almost ready to go and is hopeful to find an agent and publisher. 

  • Has verifiable and strong Ohio ties (e.g., native Ohioan, long-term resident, Ohio educated)

  • Is working on a manuscript (nonfiction, fiction, memoir) with intent to publish a book

  • Is interested in international travel and/or living

  • Is willing and able to attend the 2024 Stockholm Writers Festival, August 23–25, in Stockholm, Sweden

  • Is not entered in either of the fund’s partners’ contests: First Pages Prize (either category) or SWF’s First 5 Pages Prize 

Application and Submission Details

All submissions must be through the website for the Sandra Carpenter Memorial Scholarship Fund at www.scmemorialfund.com.

Submission Deadline for the 2024 award is March 15, 2024.  The SWF is to be held August 23–25, 2024.

Scholarship Benefits and Method of Payment

The scholarship provides the following financial benefits to the winner:

  • A ticket to the full Stockholm Writers Festival, August 23–25, 2024.

  • A one-on-one meeting with a literary agent.

  • A travel stipend of $1,500 from SCMF to help fund airfare and hotel to attend the Festival.

  • Publicity and recognition on SCMF and SWF websites and social media.

    The Fund will transfer the travel stipend funds in two installments ($750 each) directly to the winner. The first installment will be transferred upon receipt of proof of flight purchase and the second immediately after attending the festival in August.  

Accepting Your Scholarship

Successful scholarship applicants will receive an email by April 30, 2024, detailing the scholarship benefits and arrangements. A signed letter of commitment to the scholarship and its terms and conditions is due within one week of award notification.

Scholarship details may be shared with your school, employer, donors and prospective donors. They will also be shared publicly through press releases and digitally on the SCMF website and social media. If you do not wish for your details to be shared, you must advise the Fund in writing as part of your scholarship commitment letter.

Scholarship Termination and Repayment

The Fund may terminate your scholarship if you are unable to travel to Stockholm to participate in the SWF for any reason or if you have provided incorrect, false or misleading information or withheld relevant information on your scholarship application or after receiving our scholarship offer.

If you are unable to travel to Stockholm and participate in the Stockholm Writers Festival in the calendar year that you are awarded the scholarship, you must reimburse the Fund by returning the full prize money or what portion of the prize money you have received (e.g., first installment for ticket reimbursement). In the event you are required to return the prize money to the Fund, you must do so within 4 weeks of receiving the notification.

Publicity and Promotion Consent

If you are awarded the scholarship, you consent that your details including name, school, employer, photograph, video and scholarship awarded may be passed on to media and used by the Fund/or partner organizations for promotional and fundraising purposes, including but not limited to the Fund’s website, social media channels, print and electronic media.  If you do not wish for your details to be passed on to media or used for promotional purposes, you must notify the Fund in writing along with your scholarship commitment letter.

Photos and videos of you at the event (along with your name, employer, school and scholarship), may be used for promotional purposes by the Fund and/or our partner organizations, including but not limited to the Fund’s website, social media channels, print and electronic media. If you do not wish for photographs and videos of you to be used in this way, you must notify the Fund in writing along with your scholarship commitment letter.

The scholarship recipient also waives the right to inspect or approve the finished product, the advertising copy or other matter that may be used in connection therewith or the use to which it may be applied.

Liability Waiver

In accepting a scholarship you agree to  WAIVE, RELEASE, AND DISCHARGE the Fund, its officers, associates and partner organizations from any and all liability, including but not limited to, any liability arising from the negligence or fault of the entities or persons released, for death, disability, personal injury, property damage, property theft, or actions of any kind which may occur to you during or after the scholarship period, including during or after any travel undertaken as part of the scholarship.

Amendment

The Fund reserves the right to amend these Terms and Conditions for commencing and continuing scholarship holders.  Any questions about these Terms and Conditions should be directed to: info@scmemorialfund.com
